Privacy Policy

1. Who we are

Furbase (“Furbase”, “we”, “us”, “our”) is a software platform for independent dog groomers, operated from the United Kingdom. Our service is available at furbase.app.

For data protection purposes, Furbase is the data controller of groomer account data (email, business name, billing) and the data processor of client data entered by groomers into the platform.

2. Data we collect

Groomer account data (we are data controller)

  • Name, email address, business name, phone number, business address
  • Password (stored as a bcrypt hash — we never store your plain-text password)
  • Logo and branding files you upload
  • Billing and subscription information (processed by our payment provider)
  • Google Calendar authorisation tokens (if you connect Google Calendar)
  • Usage data: pages visited, features used, timestamps

Client & pet data (we are data processor)

Groomers enter data about their clients and pets. We process this on behalf of groomers:

  • Client name, email, phone number, address, and notes
  • Pet name, breed, date of birth, health notes, grooming history
  • Appointment records, grooming notes, photos

If you are a grooming client, your groomer is the data controller for your data — please contact them with any data access, correction, or erasure requests.

3. How we use your data

  • To provide, maintain, and improve the Furbase platform
  • To authenticate your account and keep it secure
  • To send transactional emails (password reset, booking confirmations)
  • To respond to support requests
  • To comply with legal obligations

We do not sell your data to third parties. We do not use client pet data for marketing or analytics.

4. Legal basis for processing (UK GDPR)

  • Contract — processing necessary to provide the Furbase service you subscribed to
  • Legitimate interests — security monitoring, fraud prevention, service improvement
  • Legal obligation — retaining records required by UK tax law
  • Consent — marketing emails (you can opt out at any time)

5. Data storage and security

Your data is stored on servers within the UK/EEA. We use industry-standard security measures including encrypted connections (HTTPS/TLS), hashed passwords, and access controls. Uploaded files are stored on our server and served over HTTPS.

We retain your data for as long as your account is active. You may request deletion at any time from Settings → Danger Zone.

6. Cookies

The Furbase app uses a single strictly-necessary session cookie to keep you logged in. This cookie is required for the service to function and does not require consent under PECR / UK GDPR.

Our marketing website (furbase.app) may use analytics cookies. A cookie banner will request your consent before any non-essential cookies are set.

7. Third-party sub-processors

  • Vercel — hosting and CDN (EEA/UK data centres)
  • Neon / PostgreSQL — database hosting
  • Google — optional Google Calendar integration (only if you connect it)

All sub-processors are bound by data processing agreements and provide adequate safeguards for personal data.

8. Your rights (UK GDPR)

You have the right to:

  • Access — request a copy of your data (use the Export feature in Settings)
  • Rectification — correct inaccurate data (edit in Settings)
  • Erasure — delete your account and all data (Settings → Danger Zone)
  • Restriction — ask us to stop processing your data in certain circumstances
  • Portability — receive your data in a machine-readable format (JSON export)
  • Object — object to processing based on legitimate interests

To exercise these rights, email privacy@furbase.app. We will respond within 30 days.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO).

9. Data transfers

We process and store data within the UK and EEA. Where data is transferred outside these areas (e.g. via sub-processors), we ensure adequate safeguards are in place, such as Standard Contractual Clauses.

10. Children

Furbase is not directed at children under 16. We do not knowingly collect data from children. If you believe a child’s data has been provided in error, contact us at privacy@furbase.app.

11. Changes to this policy

We may update this policy from time to time. We will notify active users by email before significant changes take effect. The latest version is always available at furbase.app/privacy.
